Records Compliance Week: Don’t forget your electronic files

The recycling barrels and shred bins have appeared throughout UCOP buildings. It’s time to get rid of all those business and administrative records that have reached the end of their retention periods.

While you’re disposing of your paper records, don’t forget about the electronic ones. These could be in your email account or personal storage files (.pst) or on thumb drives, external storage devices, shared drives, SharePoint or your hard drive.

To determine what to toss or shred, check the UC records retentions schedule. In addition, take a look at the Records Management‘s website for helpful tips and recorded webinars.

Caution: Please work with your department manager to coordinate the purging of any documents. Do not discard records that are the subject of a litigation hold or other records freeze or that have been requested pursuant to the California Public Records Act, an investigation, an ongoing audit or other legal process. If you have any questions about whether records are required to be preserved for legal reasons, please contact the Office of the General Counsel.
