On your mark, get set, shred! Records Compliance Week is Aug. 8 – 12

This year’s UCOP Records Compliance Week will be held next week, Aug. 8-12, 2016.

Recycling containers and locked shred bins will be available on every floor in all Oakland UCOP buildings. This is the week to get rid of all of those business and administrative records that have reached the end of their retention periods.

While disposing of your paper records, remember to delete your electronic ones, too. This means reviewing your email account, .psts, thumb drives, shared drives, SharePoint sites and any other places where you have stored electronic records.

Need more information or have questions? Come to a presentation about records compliance, which will address ways to manage shared drives:

DATE: Monday, Aug. 8
TIMES:  1 – 2 p.m., 2:30 – 3:30 p.m. and 4 – 5 p.m.
LOCATION (for all three sessions):
Franklin Room 5320

Space is limited, so please RSVP to Records Manager Laurie Sletten by Aug. 3 specifying which session you wish to attend.

Sletten will also be available to discuss records management issues with you at the UCOP ITS Tech Fair to be held on Wednesday, Aug. 10, from 11 a.m. to 1 p.m. in Franklin Lobby 1.

In the meantime, to learn how to use the UC records retention schedule, what to toss or shred, and how to send inactive records to off-site storage, check out Records Management’s website for helpful tips and recorded webinars. In addition, if you’d like to meet with Sletten to discuss records disposition and retention guidelines, contact her at 7-9411 or Laurie.Sletten@ucop.edu.

CAUTION: Please work with your department manager to coordinate the purging of any documents. Do not discard records that are the subject of a litigation hold or other records freeze or have been requested pursuant to the California Public Records Act, an investigation, an ongoing audit or other legal process. If you have any questions about whether records are required to be preserved for legal reasons, please contact the Office of the General Counsel.
