On Nov. 30, the Office of the President will be the first UC location to transition to UCPath, the university’s new shared services center that consolidates systemwide payroll, benefits, human resources and academic personnel transactions.

Key things you need to know about the transition to UCPath

The transition to UCPath will change where UCOP employees go for certain pay and benefits information and related tasks. The following are highlights about what is (and isn’t) changing, and where to go for more information:

• UCOP will transition to UCPath on Nov. 30. Beginning Nov. 30, you will use UCPath to update your personal information, choose direct deposit options, view pay stubs and vacation/sick leave balances, and complete other tasks that are currently done through At Your Service Online or via paper form. You will continue to use AYSO, UCnet and Fidelity websites for other needs. A useful guide about which websites to use for various needs is available here.

• UCPath Center will support UCOP for pay and benefits. Beginning Nov. 30, the UCPath Center in Riverside will handle many pay and benefit-related transactions for UCOP employees. UCOP employees will be able to contact UCPath Center staff via the UCPath website or by phone. An online walk-through of the new UCPath self-service website will also be available. • Employee paychecks will look a little different. When UCPath assumes responsibility for UCOP’s payroll, paychecks will look a little different because we’ll be on a new system. Changes will be visible starting with Dec. 1 paychecks for employees paid monthly, and Dec. 2 checks for employees paid biweekly. Details about the new paycheck formats are available here.

• No AYSO transactions Oct. 29 – Nov. 30. As certain functions move from AYSO to UCPath, the AYSO website will have limited functionality. From Oct. 29 to Nov. 30, UCOP employees will be able to view information, but will not be able to make changes to personal information.

• Two 2015 W2 forms for 2015. Because you will be paid using two different systems during 2015 (the current system and UCPath), in January you will receive two W2s for your 2015 pay.

• 2015 Open Enrollment will be different for UCOP employees. As part of UCOP’s transition to UCPath, UCOP employees will use an online form for making benefits elections during this year’s Open Enrollment. The form and easy-to-follow instructions will be emailed to you at the start of Open Enrollment, and you’ll receive more information about this year’s Open Enrollment process in upcoming issues of Link.

Where to get more information

Several useful fact sheets and reference guides to help you understand and successfully navigate the transition to UCPath are available now on the UCPath project website. These include an overview of the websites you will use for different transactions, details about how your new paycheck will look, and answers to frequently asked questions. In addition, there will be frequent Link stories and other communications about UCPath over the next few months. There will also be in-person events at the Franklin Building office later this year (broadcast online for those not at Franklin) where employees will be able to hear from UCPath personnel and get answers to questions.
