UC-issued documents can now reflect an employee’s accurate gender identity and lived name
The University of California continues to champion the celebration and recognition of diversity and identity as a cornerstone of its values. In line with this commitment, the institution implemented the Gender Recognition and Lived Name Policy in 2023. This policy marks a significant step forward in fostering a more inclusive environment within the UC system.
New lived-name updates
UCOP Operations has updated processes and procedures to include an individual’s accurate gender identity and lived name on university-issued documents and displays of personal identification. Listed below are updates that will be made in response to this policy:
- Email addresses will reflect employees’ lived names; previously email addresses were created with employees’ legal names.
- UCPath profiles will display employees’ lived names.
- Employee badge IDs will now display lived names
- New employees will be able to use their lived names during the hiring process and onboarding process.
How to update your information
Current employees can update their information with the following steps:
- To update UCPath, please visit UCPath Task: Update My Name for instructions on how to make changes within your portal.
- To update your email address, update your name in UCPath and create a service request in ServiceNow. Visit Creating Service Requests Using ServiceNow for instructions on this process.
- To update your badge ID, request an appointment through Badge Appointment Calendar or the Work Management Center (buildingservices@ucop.edu).
Policy exception
One exception to this policy is federal travel requirements. Per federal guidelines, travel reservation names must match the name on the government-issued ID. Therefore, names on airline tickets, car rental reservations, or hotel reservations must match employees’ government-issued IDs. The Business Resource Center is working with Systemwide Travel on implementing this policy in the Concur and ConnexUC travel systems.
