Monthly travel clinics for Express users: UCOP travel demystified
Bewitched, bothered and bewildered about UC’s travel and entertainment expense policies and reimbursement process?
There’s a reason it has been one of the top issues raised during the Efficiency Review. There are more than 100 pages of complicated travel and entertainment policies that must be followed in processing an estimated 10,000 travel and business entertainment reimbursements annually at UCOP.
Demystify the entire experience by attending the new series of travel clinics to be offered every third Monday of the month, 11 a.m. to 12 p.m. in 7107 Franklin.
These are one-hour, hands-on clinics, designed for those who support travelers in their departments and who are trained in Express, the UCLA system that UCOP uses to process travel. Mark Lozano, Travel and Entertainment team lead in the Business Resource Center (BRC), and his team will facilitate, beginning with a 15-minute review of the topic followed by questions from attendees and working through problems.
“We will address some of the more common questions people have about travel and entertainment policies and reimbursements,” said BRC Director Amal Smith. “The best way to do this is through ongoing training and encouraging more UCOP departments to be trained on how to use Express.”
The clinics begin Monday, Oct. 20, with a new topic covered each month. Upcoming topics include the following:
- Monday, Oct. 20: Combining personal travel with business travel
- Monday, Nov. 17: Travel and entertainment cards (corporate cards)
- Monday, Dec. 15: Lodging
- Monday, Jan, 12: Rental cars
- Monday, Feb. 16: Conference registrations
- Monday, March 16: Entertainment reimbursements
No registration is necessary, but space is limited. Remember that you must be an Express user, proxy, reviewer or administrative support person to attend.
