Get ready for Records Compliance Week
UCOP Records Compliance Week is August 5–9. This is a great time to get rid of any records that have reached the end of their retention periods! Recycling containers and locked shred bins will be available on every floor in all Oakland UCOP buildings.
Attend an open house
The Records Management team will host an open house on August 8, from 9–10:30 a.m., in Franklin Room 5320. Please come by and ask any questions you have about records, retention periods, the Building Consolidation Records Project, scanning and more.
Schedule a scanning consultation
Iron Mountain will be here August 5–7, then will return at the end of the month. Meet with their staff to create a statement of work about materials you’d like them to scan for your department. Schedule your building-specific appointment using the Franklin/Broadway scheduling tool or Kaiser/20th scheduling tool.
Clean up your digital files
While tidying your physical area, remember your electronic one. It’s easy to become inundated with electronic junk over time, but it will be easier to find your documents if you regularly clean out electronic spaces.

Records Management offers many online resources, including the UC Records Retention Schedule, helpful tips and recorded webinars and a page specific to the Building Consolidation Records Project.
CAUTION: Please work with your department manager to coordinate document disposal. Do not discard records that are the subject of a litigation hold or other records freeze, or that have been requested pursuant to the California Public Records Act, an investigation, an ongoing audit or another legal process. If you have questions about record preservation for legal reasons, please contact the Office of the General Counsel.
