UCOP AI tools and initiatives – May 2025 update

Over the past several months, UCOP’s AI Implementation Team has made significant strides in evaluating and integrating artificial intelligence tools, including ChatGPT and Copilot for Microsoft 365. UCOP has successfully launched several AI pilot programs and licenses, demonstrating this technology’s potential to enhance efficiency and productivity in our work.

AI tools currently available

Please refer to the UC Protection Level Classification Guide and UCOP Guidance on AI-Enabled Software for more context and information about the tools below.

  • Zoom AI Companion is a generative AI digital assistant that supports productivity and collaboration during Zoom meetings. For more information, refer to the Zoom AI Terms of Acceptable Use.
  • OpenAI ChatGPT Edu is an educational version of ChatGPT. We are completing a pilot version; starting May 31, it will be available to UCOP staff through the UCOP Software Request Form. ChatGPT Edu can be used with Protection Level 3 and lower data.
  • Microsoft Copilot Chat is available to all UCOP employees and accessible through all UCOP-issued Microsoft accounts. Microsoft Copilot Chat is approved for use with P1 and P2 data.
  • Microsoft 365 Copilot is being introduced as a pilot initiative and will be available to purchase through the UCOP Software Request Form starting May 31. It is approved for use with up to PPL3 data.

Ongoing AI initiatives

  • The UCOP AI Hub is a valuable, expanding resource for everything related to AI and automation at UCOP.
  • We are working to operationalize the OpenAI Zero Retention API in 2025 to support approved workflows and business processes that will benefit from integration with secure AI.

Update on the AI Community of Interest Group: As we transition from exploration to execution, the AI Community of Interest has concluded its work. Looking forward, the intent is to form a formal group structure that will drive alignment, deployment and scaling of AI across the organization.
