If you’ve been looking for ways to get the most out of Box — UCOP’s file storage solution — you’re in luck! UCOP Information Technology Services has released the latest issue of its quarterly newsletter, filled with helpful Box features and tips. Read on and get ready to make the most of Box!

Box Fundamentals
Next offering: Sept. 17, 11 a.m. – 12 p.m. PT
This course will give you an overview of Box, the cloud-based service that provides our secure file storage and file sharing. Topics covered include how to use Box, collaborate inside and outside of UCOP, comment directly on files, folder permissions, shared links and many other tips that will help you when using Box. Administrators from IT will be on hand to answer your questions and review the best features of Box.

Box Advanced
Next offering: Aug. 12, 11 a.m. – 12 p.m. PT
Want to know how to store sensitive data securely in Box? Interested in how to get data into Box via email or URL? Sign up for this advanced Box class. We will cover a variety of topics, including setting up alerts to monitor folders and using Box groups to manage department collaborations. Take collaboration to the next level!

Get to know Box Shield

Box Shield is an AI-powered threat prevention functionality that enhances the security of our most sensitive content stored in Box. Here’s how it works:

  • UCOP has policies that automatically classify sensitive data and prevent it from being shared outside the organization.
  • Using built-in machine learning and user patterns, Box Shield can track suspicious location logins, anomalous download behavior and suspicious session alerts.
  • Box Shield also detects and protects against malware.

Helpful quick tips to improve your Box experience

Quick Tip #1: Box Relay
Do you have repeatable workflows that would benefit from automation? You may want to check out Box Relay, a workflow automation application that enables Box users to automate and accelerate content-centered business processes. Box Relay is free. To enable it, contact the UCOP Service Desk.

Quick Tip #2: Email to folder
Did you know that you can configure a Box folder to receive file uploads via email? To enable this feature:

  • Log in to the UCOP Box web console
  • Navigate to the folder you want to receive uploads
  • Click “…” for More Options
  • Select “Settings”
  • Scroll down to “Uploading”
  • Check the box, “Allow uploads to this folder via email”
  • Additional checkboxes allow you to limit uploads to collaborators or to overwrite files uploaded with the same name
