Box update: New third-party integrations, quick tips and more!
Some new features and a few tips might help you when using Box:
New third-party integrations
As we strive to improve Box functionality, the following third-party integrations are now available:
PDF Expert for iPad
PDF Expert is the ultimate solution for all your PDF needs. It lets you read and annotate PDF documents, highlight text, make notes, draw with your finger and save these changes so that they are compatible with Preview and Adobe Acrobat. Moreover, PDF Expert is the only iPad application that can fill PDF forms!
Scanner Pro
Scanner Pro can scan any type of document, from a receipt to a multi-page report. Save, email or upload your scanned documents as PDF or JPEG files.
Lucidchart Diagrams
This application allows you to view Visio documents stored in Box.
Smartsheet
Smartsheet is the spreadsheet-easy work collaboration and project management tool for organizations of all sizes. With Box and Smartsheet, you can seamlessly attach files directly to relevant tasks and projects without version control hassles. Save time, stay organized and collaborate with your team where it matters — in the context of your work.
Quick tip #1: Content ownership and account deletion
What does it mean to be an owner of Box content?
Every file and folder saved to Box must have an “owner,” which is the person that owns the content and has the ability to manage permissions and shared access for others.
Why should I be concerned about the deletion of Box accounts?
When a Box account is deleted, any content owned by this account is also deleted. This includes content shared with others.
The Box administrator has the ability to transfer content to another owner. If the departing employee’s manager would like content transferred, the new owner’s name should be specified when the request is made to have the account deleted and the data transferred.
Quick tip #2: Locking a document
Here’s how to lock a document so it does not get updated by other users while you’re revising it:
- Locate the document your team collaborates on.
- Click on the … “More Options” box on the right side.
- Select the Lock Duration time and then select Lock. You can also choose to “Disable download” which will block the file from being downloaded and updated.
- Once this is done, you can open and edit the document without worrying about a different version existing.
