Quick tip #1: Content ownership and account deletion

What does it mean to be an owner of Box content?

Every file and folder saved to Box must have an “owner,” which is the person that owns the content and has the ability to manage permissions and shared access for others.

Why should I be concerned about the deletion of Box accounts?

When a Box account is deleted, any content owned by this account is also deleted. This includes content shared with others.

The Box administrator has the ability to transfer content to another owner. If the departing employee’s manager would like content transferred, the new owner’s name should be specified when the request is made to have the account deleted and the data transferred.

Quick tip #2: Locking a document

Here’s how to lock a document so it does not get updated by other users while you’re revising it:

  1. Locate the document your team collaborates on.
  2. Click on the … “More Options” box on the right side.
  3. Select the Lock Duration time and then select Lock. You can also choose to “Disable download” which will block the file from being downloaded and updated.
  4. Once this is done, you can open and edit the document without worrying about a different version existing.
