Updates on artificial intelligence tools implementation and guidance
Artificial intelligence (AI) is rapidly transforming every industry, including higher education. UCOP has been actively evaluating AI tools, including ChatGPT and Copilot for Microsoft 365, assessing the AI’s impact, and addressing the privacy and compliance challenges associated with their integration.
Our primary focus remains the protection of UC data, but recognizing the potential for AI to enhance efficiency and productivity in our work, we would like to share some updates below.

AI tools currently available

- Zoom AI Companion is a generative Al digital assistant that helps users improve productivity and work together more effectively. Zoom users can access Al Companion via the Zoom platform, with features currently available for meetings and team chat. For more information, refer to the Zoom AI Terms of Acceptable Use.
- OpenAI ChatGPT (Free) is available and approved for Protection Level 1 (PL1) data.
- Microsoft Copilot (Free) is available and approved for P1 and P2 data.
Ongoing AI initiatives
- OpenAI ChatGPT (Enterprise License): The terms and conditions are completed and we are awaiting OpenAI’s finalization of a compliance-related amendment to the existing contract.
- Copilot for Microsoft 365: The full version of Microsoft Copilot for Microsoft 365 (used with Word, PowerPoint, Excel, Outlook, etc.) is under a rigorous review process by UCOP’s Security, Legal, and Risk teams due to data security requirements and its integration with SharePoint and other Microsoft applications.
- UCOP AI Hub: We have created a central hub for AI tools and information. In the coming months, we will continue to build this site into a useful resource for UCOP colleagues about everything related to AI and automation.
- AI Community of Interest Group: A cross-divisional group of colleagues who are interested in AI adoption and application meets monthly to discuss AI-related topics, develop opportunities to raise AI awareness throughout our organization and build partnerships with related organizations.
